What Are Event Hive’s Seller Guidelines?
Be a good community member.
Follow our content guidelines. Event Hive is a place where event planners (or wanna be planners) share, buy, and sell materials and resources. The “What is and isn’t ok to post?” resource on this page will provide information on the types of resources that we currently support. Please refrain from posting resources that fall outside of these guidelines.
Set and honor your prices. How you price your resources is up to you. You must offer the full material advertised in your resource listing for the price listed, and you cannot require members to pay any additional fees to access your resource. You may not charge more on Event Hive for a resource that is offered for free or less elsewhere.
Be accurate and honest. The Event Hive community is built on trust. You should only sell resources that you’ve produced or designed yourself. Make sure your resource is complete and accurate. Don’t be misleading about what your resource is or includes. It’s your responsibility to ensure that the titles, descriptions, and other materials in your resources are truthful, accurate and free of mistakes and technical issues.
Maintain accessibility and fix technical issues. By offering resources for sale through our Services, you agree to provide undisrupted access to your resources to members who have purchased them. Each resource file you upload must be complete, fully accessible, and in working condition at all times. This means, if any part of your resource content is hosted on another platform or relies on a third-party service, you must maintain third party content at all times. You may not require the purchase of any additional software or equipment not listed as required in your resource description. You may not require the purchase, subscription, or registration of an account with any other websites or services to access your full resource.
Respect intellectual property rights. Your resources must only contain material that you own the rights to (copyright, trademark, and other rights) or that you have the legal right to use commercially. When you upload a resource, you represent and warrant to us and to purchasers who may use your files that you have the necessary rights to use all of the content you include in your resource, that neither Event Hive nor any member will have to obtain a license or pay royalties to any third parties, and that the intended use of your resource will not infringe on anyone’s rights (including copyrights, trademarks, or other intellectual property rights, personality, publicity, or privacy rights). We will remove resources that are identified in a valid legal notice as infringing, or that we have a good faith belief are infringing, and we’ll close the accounts of Sellers who repeatedly violate this rule.
Don’t direct Users to alternative sales channels. Event Hive should not be used as a way to drive traffic to another website. You may not include hyperlinks to alternative sales channels such as another online marketplace or e-commerce site where your resources can be purchased.
When your Buyers leave you questions or comments, use this chance to engage them. Timely, thoughtful responses go a long way in creating loyalty and demonstrating a commitment to strong customer service.
Treat others the way you want to be treated. It’s an oldie but a goodie! Your templates are personal creations. If feedback rubs you the wrong way, give yourself some time before you respond. You’ll want your best professional self to shine through each and every time you respond. Providing good customer service is also an excellent opportunity to really help your store stand out and to attract new Followers!

How do I register and setup my shop?
- Register Account
- We suggest you use a passphrase for the password so it is secure and easy to remember. Here is a passphrase generator if you need help.
- A confirmation email will be sent to your email notifying you of your registration.
- Event Hive will review your account information and once approved you will receive a confirmation email with a link to the login page.

What kinds of store data can I view on the dashboard?
Reports in WooCommerce give you the ability to see your store’s performance from month to month using graphs and stats. It has four sections: Orders, Customers, Stock and Taxes.

How do I manage my orders?
Orders are created when a customer completes the checkout process, and they are visible by Admin and Shop Manager users only. Each order is given a unique Order ID.

What are the payout rates and fees?
Event Hive offers sellers a 60% payout rate for each item sold. There is also a 2.9% plus $.30 fee applied to all PayPal purchases and a $.25 fee is applied to payouts/commissions. Event Hive keeps 40% of each sale as a service fee.

How and when do I get paid?
The how:
We work with Paypal as our third-party service provider to issue your payments to you.In order to get paid, you’ll need to have a Paypal account and be sure that your account is eligible and ready to receive payments. Finally, make sure that you’ve provided this information in the “Payment Options” section of your Event Hive Account.
If you earn more than $10,000 in a month, which is the maximum we can send via PayPal at one time, we will send you multiple payments.
The when:
We pay out Seller earnings on a monthly basis. Earnings for each month arrive the following month.

You sent my earnings to PayPal, but I don’t see the money in my account. What do I do?
You may need to finish setting up your account the first time that money is sent to you via PayPal. In the email notification from PayPal about the payout, there are instructions on how to complete setting up your account, how to verify it, and/or how to accept your first payment.
Please follow those instructions fully within 30 days of getting the notification or PayPal will send your money back to us.
If 30 days have passed, contact us and we will send your payment again.
Once you set up your account and accept your first payment, subsequent payments will be delivered to your PayPal account automatically.

What is your refund policy?
The resources you purchase are delivered electronically. Unlike a shirt or a book, you can’t (really) return a PDF, Word document, or other file once you’ve downloaded it. For that reason, all sales on Event Hive of digital resources are considered final and nonrefundable.
We do understand that things don’t always go as planned, so we offer refunds in a few limited circumstances. If your purchase falls into one of the exceptions listed below, you may be eligible for a refund.
Refund requests must be submitted within one year of your purchase and are granted on a case-by-case basis.
- Compromised Resource File- A resource file is damaged or is missing content.
Example: A thumbnail or preview is uploaded instead of the resource itself. - Misrepresentation- A resource preview and/or description misrepresents what is actually contained in the resource.
- Technical Limitations— You are unable to access a resource because the technical requirements aren’t included in the resource description.
Example: A resource is an Illustrator file but this is not listed anywhere on the product page. - Duplicate Purchase— The same resource is purchased twice.
Example: You purchase a resource contained in a specific bundle and then later purchase that bundle within one year of the original purchase.

Do I need to submit a W-9?
You’ll receive an email from us with an explanation and instructions on how to submit a W-9 if we need one from you.
We don’t have to collect a W-9 from everyone. To comply with IRS regulations, Event Hive collects this information and issues 1099-K forms to sellers who have had sales of more than $20,000 this year. If that’s you, you should look out for an email from us. If you’re not in that category, you won’t get these tax documents from us this year.
If you think you’ve crossed this threshold or that you will by the end of the year and you haven’t heard from us, contact us and we’ll be happy to double check.
Regardless of whether you get a tax form from us or not, it’s important to understand your tax reporting needs, and while Event Hive can’t provide any tax advice, we strongly recommend that all of our sellers talk to tax professionals to better understand how to report their taxes.

What is and isn't ok to post?
Event Hive is a marketplace for event planning resources.
Do post:
- tasklists
- run of shows
- budgets
- venue checklists
- sponsor packets/letters/reply forms
- committee and sponsor letters
- auction plans, bid sheets, tracking worksheets
- PR and marketing plans
- Volunteer plans
- Tracking spreadsheets for guests, committee, volunteers, etc.
- Sample contracts, invoices
- A/V, catering, rental templates and resources
- Free resources
- Graphic design elements that could be used for events
- Logos
- Letterheads
- Save the dates
- Invitations
- Sponsor packets
- Posters
- Banners
- Vase wraps/podium clings, etc.
- Whatever ideas you have to brand an event.
This list is not exhaustive and we aim to be as inclusive as possible, so don’t hesitate to reach out if there’s something you think we should add to this list.
Don’t post:
- Infringing resources. Don’t post resources that aren’t your original authorship (your work has to be your own).
- Resources requiring additional steps to gain access. All digital resources should be accessible and downloadable directly from Event Hive unless the file exceeds our 50MB file limit. In that case, the downloadable resource may include a link to a third-party hosting site. Buyers should not be required to give their email addresses or other personal information in order to gain access to digital purchases.
- Resources directing Buyers to another sales channel. Don’t post resources that link to other online retailers or e-commerce sites.
- Non-event planning materials. Products whose primary purpose is neither instructional for event planners or helpful for event décor, aren’t allowed.
- Duplicate Listings. Each resource can be listed only once on Event Hive. If you have co-created a resource with another planner, you’ll have to decide which Event Hive store to list it in.
- Resources for an inconsistent price. You’re welcome to offer your work in other online retail outlets and marketplaces, but it’s important that your Event Hive buyers are not being charged a higher price or being charged for something that you’ve posted for free somewhere else.
- Offensive content. Material that is discriminatory on the basis of race, religion, ethnicity, sex, gender, disability, or orientation or material that is pornographic or obscene.
You agree not to engage in any of the following prohibited activities:
- Using any automated system, including without limitation “robots,” “spiders,” “offline readers,” etc., to access Event Hive in a manner that sends more request messages to the Event Hive servers than a human can reasonably produce in the same period of time by using a conventional online web browser (except that Event Hive grants the operators of public search engines revocable permission to use spiders to copy materials from CreativeMarket.com for the sole purpose of and solely to the extent necessary for creating publicly available searchable indices of the materials, but not caches or archives of such materials).
- Transmitting spam, chain letters, or other unsolicited promotional email.
- Attempting to interfere with, compromise the system integrity or security or decipher any transmissions to or from the servers running Event Hive.
- Taking any action that imposes- or may impose, as we determine at our sole discretion- an unreasonable or disproportionately large load on our infrastructure.
- Uploading invalid data, viruses, worms, or other software agents through Event Hive.
- Collecting or harvesting any personally identifiable information, including account names and emails, from Event Hive.
- Using Event Hive for any commercial solicitation purposes.
- Impersonating another person or otherwise misrepresenting your affiliation with a person or entity, engaging in fraud, hiding or attempting to hide your identity.
- Interfering with the proper working of Event Hive.
- Accessing any content of Event Hive through any technology or means other than those provided or authorized by this site.
- Bypassing the measures we may use to prevent or restrict access to Event Hive, including without limitation features that prevent or restrict use or copying of any content or enforce limitations on use of Event Hive or the content.
- We may, without notice, change the service of Event Hive, stop providing the Service or features of the Service, or create usage limits for the Service. We may permanently or temporarily terminate or suspend your access to Event Hive without notice or liability for any reason, including if in our sole determination you violate any provision of these Terms, or for no reason. Upon termination for any reason or no reason, you continue to be bound by these Terms.

Can I use images I found on the internet in my resources?
It depends.
The key is to make sure that you have the right to use anything you include in your resources. That includes photographs, clip art and other images, and so on. As always, your safest bet is to use only things you’ve created yourself or purchased, but we know that’s not practical for everyone.
There are also lots of other websites of image and clip art libraries. It can be tough to know which sites to trust, and how to navigate their licensing rules, so it’s good to be cautious and read carefully.

Setting up Virtual and Downloadable Products
When setting up a product, make sure that both Virtual and Downloadable checkboxes are checked.
Downloadable renders a link to the product/file on the order summary page after purchase. It also shows up in the order summary email that is sent to the buyer as well.
Limitations can be set for the download:
- Number of downloads allowed
- Expiration date for downloads
Virtual bypasses any further action from the vendor. The order is immediately processed as complete.
Issuing a refund will automatically expire the download link so the buyer cannot continue to download.

What format should I upload my files?
We ask that files you would like to use as your thumbnail images in your shop be PNG or jpeg files that are 1100x1100px. PDFs will not be visible as thumbnails.
The file you add for purchasers to download, should be a ZIPPED (compressed) file of all your products in one file which should include a readme file with the necessary details. See example here.
Put all of the files into one folder, then compress the folder into a single ZIP file. Then, upload this ZIP file as your downloadable product file.
How to create a ZIP file on a Mac:
- Make a new folder and name it appropriately.
- Put all of your product’s files into this folder.
- Highlight the folder. Then, in the top menu bar on your desktop, go to “File” and select “Compress [folder name].”
- This will create a zipped version of your folder. Upload that ZIP file to your new product form.
How to create a ZIP file on a PC:
- Make a new folder and name it appropriately.
- Put all of your product’s files into this folder.
- Right-click the folder you want to compress.
- Choose “Send to” and then “Compressed (zipped) folder.”
- A zipped version of your folder will appear in the same location. Upload that ZIP file to your new product form.

How do I refund a product?
If you’d like to refund one of your Buyers, please contact us and let us know:
- Which Buyer and resource you’d like to refund
- Why you’d like to offer a refund
Our Customer Experience team can help issue the refund on your behalf. If the Buyer is having technical issues, feel free to have him or her reach out to us directly here.
With WooCommerce 2.2 and newer, you can now process refunds directly from within an order automatically if your payment gateway supports it or you can do so manually.

How do I notify Buyers that I've uploaded a revised version of my product?
Here’s how to notify your Buyers of a revised product:
- Hover your mouse over your store name, and select “My Product Listings”
- Click “Edit” under the title of the product you wish to revise
(This will bring you to the product edit page) - Under “Product Upload,” click “Choose File” to find the revised file on your computer and attach it
- Just underneath this section, check “Notify my buyers that I’ve updated this product”
- A field will open up where you can describe the changes you’ve made
Once you’ve described the changes and saved the revised product, your Buyers will receive a notification on their “My Purchases” page letting them know that you’ve posted a revised file.

Can I see who downloads my free products?
No. You can see how many times each of your products have been downloaded, but you cannot see who specifically downloads them.
